Microsoft Teams to OneDrive shortcuts are a convenient way to have access to files and folders across services, similar to software features that Deanery faculty/staff have used previously. When you transfer your work files to Microsoft Teams and OneDrive, you receive five terabytes of free storage, and any Microsoft Teams member automatically gets access to OneDrive. You do not need to be connected to a VPN to have access to your files when you use Microsoft Teams and OneDrive.

Create a Shortcut

  • Open Microsoft Teams (work or school) on your windows computer. Start by typing "Microsoft Teams" into the search box in your taskbar, until the Microsoft Teams app appears in your search window.→ Select "Open."

  • Find the Team you would like to create a shortcut to in the column on the lefthand side of your screen and select the “General" channel.

  • Select the “Files” option located at the top of the window.

  • Select “Documents” from the breadcrumb navigation panel to get a full overview of all the files and folders within the Team.

  • In the options bar at the top of the window, click “Add shortcut to OneDrive." If you do not see this option, click on the three-dot icon, and select “Add shortcut to OneDrive” from the drop-down menu.

  • You will see a notification pop up in your Teams window, indicating that a shortcut has been added.
 
  • You have now successfully added a shortcut from your Microsoft Teams files to OneDrive! Please note that the services will likely take several minutes to sync, and the shortcuts will not be immediately visible.

Shortcut Directly from a Channel

  • You can also navigate directly to a channel that you want to create a shortcut to, and follow the same steps:
 
  • Select the “Files” option located at the top of the window.→ Select “Documents” from the breadcrumb navigation panel to get a full overview of all the files and folders within the channel.
  • In the options bar at the top of the window, click “Add shortcut to OneDrive." If you do not see this option, click on the three-dot icon, and select “Add shortcut to OneDrive” from the drop-down menu. You will see a notification pop up in your Teams window, indicating that a shortcut has been added.

Additional Notes

  • OneDrive files that have shortcuts to Microsoft Teams are identified in your file explorer by a chain link icon overlay, as well as a chain link icon beside the cloud status symbol.
 
  • The best way to move files and folders within your OneDrive, or within a Team or private channel, is using a browser.

Moving Files or Folders

  • If you would like to move something from one Team to another, or from one private channel to another, please do not do this from your computer. The entirety of the files you are moving will be downloaded onto your device. Instead, navigate to the Team where the files you want to move are stored.
  • Click the three dots icon beside the file or folder you want to move.→ Select “Move to” from the dropdown menu.

  • Select the Team you would like to move your files to from the lefthand quick access menu.→ Select “Move here” to move your files, or choose a subfolder to move your files to from the site library, and select “Move here.”
